The right salon POS is the one that handles your actual checkout and reporting needs reliably at an understood total cost. Start with a workflow list, then ask providers to demonstrate it. A feature name in a brochure is not enough to establish that a system supports the way your salon works.
Bring a realistic demo script
Prepare fictional transactions that resemble your day: one guest buying two services, a service with an add-on, a split payment, a refund and a closing report. Include tips, commissions, gift cards or check-in only if they are requirements for your business. Ask the provider to show each step in the proposed configuration.
| Area | Question to answer in the demo |
|---|---|
| Checkout | Can staff enter, correct and complete a typical sale efficiently? |
| Payments | Which payment methods and processors are supported? |
| Staff access | Can permissions reflect actual responsibilities? |
| Reporting | Can you reconcile sales, tips, refunds and deposits? |
| Reliability | What happens during internet or device failure? |
| Data access | What can be exported, in which format, and at what cost? |
| Support | Who responds during your operating hours? |
Compare the complete commitment
Request itemized hardware, software, installation, processing and optional-module charges. Clarify minimum terms, renewal, cancellation and equipment ownership. If a device is included at no initial charge, ask what obligations make that possible. Compare proposals over the same time period using the same transaction assumptions.
Score evidence instead of promises
Use a simple scale: demonstrated, documented but not demonstrated, unavailable, or unresolved. Assign more weight to essential workflows than attractive extras. Record the exact product version, plan and hardware being quoted, since features can differ between configurations.
Plan the transition before signing
Identify data that must move, staff training needs, opening balances and a fallback plan. Confirm how refunds for old transactions will be handled after the switch. Retain access to historical reports for the required business and accounting purposes.
